Request Procedures
1. Please provide information regarding the file(s) you would like
to retrieve. It is essential that you include your name and contact information
and a detailed description of the file(s) being requested.
2. Archives staff will verify that you are authorized to retrieve
the files that you have requested. If our records do not indicate that
you are authorized to retrieve the files, we will instruct you as to how
to obtain authorization.
3. Your request will be reviewed to make sure that we have all
of the information we need to retrieve the requested file(s).
4. Archives staff will retrieve the materials from storage. We
have on- and off-site storage facilities, and the location of the files
can affect the turn-around time for a request. In general, if you have
provided us with complete and accurate information, you can expect to
have the requested file(s) in 1-3 working days.
5. Archives staff will deliver the requested file(s) to the requesting
office noted on the request form.
6. When you are finished using the files, return them to the Archives.
Do not remove any information from the file(s), and please do not return
files through campus mail.
7. In the event that it is necessary for your office to retain
a retrieved file for long-term use (e.g., when a student is readmitted
and his or her file is returned to its originating office) it is extremely
important that you notify Archives so that we may note that in our system.
